EdTech ERP Modernization with Online Exams & Role-Based Operations

The subject of our attention was an internal comprehensive ERP system represented by a web app. It covered sales, HR, procurement, and accounting operations, as well as student data and exam-related certification workflows.

Since the client didn’t want any significant downtime or overhaul, we have focused on optimizing and fine-tuning functionality and performance to achieve drastic advancements. As a result, we have transformed an outdated system into a secure web application with role-based access, hosted on the client’s own IIS server to ensure that data remains secure.

A focused team of six, including a project manager, a business analyst, a UX designer, a front-end developer, a back-end developer, and a QA, delivered the first production module for individual and group exams used for certificate issuance.

In general, legacy processes and scattered data slowed operations and increased the risk of errors across departments, but the improvement techniques were traditional and required no additional research and rework.

The most challenging part was building the exam module, as it contained the following:

• Exam preparation required diverse content types, including multiple answers, video and audio framing, etc.
• Limited time for answering and blocking of a page after the time is over,
• Accumulating and calculating exam results for certificate issuance.

We built an operations management platform with a central knowledge base and role-based access for departments, plus student accounts dedicated to exam flows.

• From payment monitoring to precise reporting, the accounting module simplifies financial administration through accurate data and automated processes that repeat,
• The sales module automates the sales cycle, helping teams handle leads, complete deals quicker, and track success,
• The HR module streamlines personnel management, recruiting, and reporting, assuring organization-wide information flow without additional process overlaps,
• The procurement module streamlines buying, improves vendor management, and offers real-time supply and expenditure data.
• The exam module supports timed assessments, automatic lockouts, mixed content formats, and audit-ready result storage.

As a result, the ERP layer streamlines multiple operations while consolidating data for analytics and compliance.

Around 100 employees had access to the ERP to speed up procedures and decrease human mistakes. This step to centralize all operations in one system simplifies and accelerates workflows as follows:

• Reduces human errors and minimizes data loss,
• Automating sales, financial, and HR reports to make management more transparent,
• The online exam module saves time and resources for both students and instructors,
• Student history is tracked and maintained to present real value for customers,
• The system provides valuable reporting capabilities across all data.

This way, the ERP presented 99,99% uptime and positive feedback from the users.
