Project-Based Software Development Outsourcing

Let's Talk
  • COMMIT THE DATE

When you need to outsource software projects, put the scope and the deadline under one signature when a launch, an audit, or a customer contract fixes them for you. If the date slips, we cover the cost of the recovery work to get the project back on schedule.

  • PROTECT THE ROADMAP

Staff this project outside your team and keep the quarter they committed to intact. Review demos and approve releases while the day-to-day runs on our side.

  • GET THE NUMBER FIRST

Buy two weeks of discovery and walk out with a costed estimate built on a written specification and architecture. Defend the spend with the assumptions and risks listed beside the number.

The Delivery Model

The Devox Software Project-Based Delivery Model

This form of project-based software development ensures we own the execution against agreed objectives and a delivery roadmap. You define the business goals and approve what “done” means, while we architect, build, and manage delivery. Scope changes go through change control.

Modernizing unstable systems? Launching new products?

We build development environments that deliver enterprise-grade scalability, compliance-driven security, and control baked in from day one.

Why Devox Software

A Delivery Model Built Around Outcomes

01

The Estimate Comes With the Spec

Many look for software project outsourcing companies that offer transparency; our discovery sprint produces the complete discovery package: specification, architecture, backlog, costed estimate, risk register, and acceptance criteria. Your product owner approves the definition of done before work begins, and the documentation helps you defend the budget internally. For systems with deep unknowns, the estimate may focus on the first slice of work to establish a baseline.

02

Releases That Land Without Downtime

When handling outsourced software projects, we ensure feature deployment is decoupled from the user-facing release, so a critical update can go live without interrupting active sessions. Work ships in slices small enough to test, with a rollback path ready before each rollout. Every release is validated against production-like conditions first.

03

Built for the Audit Requirements You Actually Have

We build to the control requirements identified in discovery. Attestation of your production environment remains yours to obtain. Every change carries a named approver and a record of what was reviewed before it shipped.

04

You Own All of It

The discovery deliverables specific to your system – specification, architecture, backlog, risk register, and estimate – are assigned to you on payment. Devox Software's pre-existing methodologies, templates, and tooling remain ours. You keep everything you paid for, with no obligation to build with us.

05

Domain Depth Where It Matters

Our engineers work in WMS, autonomous mobile robots, last-mile logistics, ERP migration, and automotive systems. In these environments, the edge cases are known in advance: what happens when a robot loses network mid-route, how a warehouse handles a partial pick, which SAP extensions survive an upgrade. We start from those constraints instead of discovering them in month three, unlike many generic software project outsourcing company partners.

06

One Owner From Plan to Release

A project manager runs delivery and brings you a working demo with each release, so your time goes to reviewing and signing off. If an engineer leaves mid-project, we cover the cost of the replacement and protect the schedule.

When to Use This Model

Best-Fit Scenarios

When you decide to outsource a software project, it is ideal when you need to choose project-based delivery when:

  1. You are building something new and need the specification and the architecture before you commit the budget.
  2. A missed date has a cost outside engineering – a launch, an audit, a customer contract.
  3. Pulling your engineers onto this project would put their roadmap at risk.
  4. You want to review demos and approve releases.
  5. A system that runs the business has to change while it keeps running.
  6. Auditors will read this later.

Our Process

How Our Outsourcing Software Project Delivery Runs

01.

01. Discovery Phase (Weeks 1–2)

Over two weeks, an architect and a business analyst produce the complete discovery package: specification, architecture, backlog, costed estimate, risk register, and acceptance criteria. Your product owner approves the scope before work begins.

02.

02. Build & Validation (From week 3)

We map dependencies and walk through edge cases before development starts. Work then ships in release slices small enough to test, each validated against production-like conditions.

03.

03. Release

The pipeline runs automated tests and a security review for every slice, with a named approver for each change and a rollback path in place before rollout. Configuration drift between staging and production is monitored, so the version that passed review is the one that ships.

04.

04. Handover

The system arrives with final documentation, architecture, and operational runbook. This includes a 30-day post-release warranty period for critical bug fixes.

FAQ

Frequently Asked Questions

  • How do you estimate costs accurately up front?

We can’t, which is exactly why discovery is its own contract with its own price and its own end date.

For an existing system, two weeks with our architects inside the codebase produce the estimate: we map dependencies, read the code, and sit with the people who remember why the workaround exists. The estimate reflects what we found in your system.

For a new build, the same two weeks go into the specification and the architecture instead. We define the data model, the integrations, and the acceptance criteria, then price against them. The unknowns are different – third-party APIs you haven’t tested, load you haven’t seen – and they go in the risk matrix with their mitigation costed.

Where the unknowns are deepest, we build one slice before pricing the rest – one module extracted, one integration live, one pipeline running end-to-end. Several weeks in your environment give us a real unit cost for the remaining estimate. Material changes go through change control.

  • Who retains control over key architecture decisions?

Decisions that shape the system are made by a designated senior engineer on our side, and each is documented, including the alternatives considered and the reasons they were rejected. You see them at the demo. Final approval of decisions that shape the system’s long-term direction sits with you through the change-control process in the SOW.

Where AI accelerates our engineers, the design calls stay with the engineers. Every AI-assisted change passes senior review before it merges, and the audit log records who approved it and which checks were run. Your team gets access to that log.

  • How do you handle changes in key personnel?

The SOW handles personnel changes contractually: we notify you in advance and provide a paid overlap for handover; substitutions are made with equivalent seniority. We also maintain backup engineering coverage in critical areas and update the documentation as the code changes, so key knowledge does not rest with a single person. The replacement is at our cost, and the schedule holds.

  • What is our financial exposure?

Milestone-based payments limit your financial exposure. You pay against accepted milestones, so at any point in the program, your spend reflects the value already delivered and in progress. There are key checkpoints where you can stop and keep everything you’ve paid for: after the initial scoping call, after discovery, and at each milestone boundary.

Software delivery is full of unknowns, and discovery often surfaces risks that neither side saw up front: third-party dependencies without documentation, undocumented business logic that breaks with change, security surface areas that require additional protection, or for new builds, immature API specs and unverified load assumptions. We list these in the risk matrix and include their mitigation in the costed estimate.

  • What happens at handover, and what recourse do we have?

If quality or pace slips, you have a named escalation path directly to our leadership. The handover package covers documentation, runbooks, and the formal transfer of environment access and administrative credentials following an agreed-upon security procedure. It is a milestone deliverable with its own acceptance criteria, and IP transfers at that milestone rather than at final settlement. Defects, meaning failures to conform to the accepted specification, reported within the warranty period stated in the SOW are corrected at our cost. This is your exclusive remedy for such defects.

  • How can we verify your technical capabilities?

Ask for references and call them. We’ll give you clients running comparable systems, including engagements that ran into trouble, so you can hear how we handled it. Ask to see code; we’ll show you sanitized code samples or an architecture walkthrough, and you can bring your own architect to poke at it. And ask to meet the engineers who’d be on your project, not just the delivery lead. If we can’t produce those people on a call before you sign, that tells you something.

  • What is project-based outsourcing?

Project-based outsourcing is an engagement model in which the vendor assumes full responsibility for delivering a defined software project by a specific date for a fixed price. The vendor manages the scope, the delivery team, and the technical outcomes, allowing the client to focus on business goals rather than daily management.

  • When is the fixed price model better than an hourly one?

It is better when your requirements are stable or have been thoroughly defined during a discovery phase, and when you need budget certainty and a firm delivery date. Fixed price mitigates the risk of scope creep by requiring a formal change-control process for any modifications.

  • Can I switch to a different engagement model mid-project if my needs change?

Yes, switching is possible. Many clients start with a project-based discovery sprint to define their needs. They may transition to a dedicated team if the project evolves into long-term product development, provided the transition plan is managed to ensure continuity.
